2. Information we collect
- Contact and identification details, including your name, email address, telephone number, country calling code, and the name of a passenger or contact person when you book for someone else.
- Journey details, including pick-up and drop-off locations, dates, times, flight numbers, passenger count, luggage, ski or snowboard equipment, child-seat needs, intermediate stops, and other requests.
- Quote, booking, payment status, transaction reference, correspondence, feedback, incident, and customer-support records. HMS does not intentionally store complete payment-card details.
- Technical information that may be generated when you use the website, such as device, browser, IP address, access time, and cookie or analytics data where those functions are enabled.
3. How we use information
- To prepare quotes, confirm availability, form and manage bookings, provide transfers, monitor flights, coordinate chauffeurs and vehicles, and respond to enquiries.
- To process and reconcile payments, issue records, prevent fraud, protect passengers and staff, handle lost property or incidents, and comply with legal, tax, accounting, insurance, and regulatory obligations.
- To maintain and improve service quality, website performance, multilingual support, security, and operational planning.
- To send service-related communications. Marketing communications are sent only where permitted by law or with consent, and may be declined at any time.
4. Sharing and service providers
We do not sell personal information. We share only what is reasonably necessary with HMS personnel, assigned chauffeurs, selected licensed transportation partners when additional capacity is required, and providers supporting our operations, including booking and customer-management systems, website hosting, email and communications, payment processing, insurance, professional advisers, and public authorities where required by law.
- If you choose a third-party messaging service, that provider processes communications under its own privacy terms.
- Service providers and partners are required to use information only for authorised purposes and to apply appropriate confidentiality and security measures.
5. International handling
Some technology, communications, payment, or storage providers may process information outside Japan. Where information is transferred internationally, we take reasonable steps required by applicable law to select appropriate providers and protect the information.
6. Retention and security
We retain personal information only for as long as reasonably necessary for the purposes described above, including the fulfilment of bookings, customer support, dispute handling, and legal, tax, accounting, insurance, or regulatory requirements. We use reasonable organisational and technical safeguards, but no internet transmission or storage system can be guaranteed completely secure.

Subject to applicable law, you may request confirmation of our processing, access, correction, deletion, suspension of use, or information about third-party provision.
